Before you start: build the planning foundation

Before counting backward from event day, write down five basics:

  • Purpose: Why are you holding this event?
  • Audience: Who needs to attend, and what do they need from the experience?
  • Outcome: What should guests know, feel, or do afterward?
  • Budget: What can you responsibly spend, including contingency funds?

Before the event, that can include budgeting, venue research, vendor and sponsor management, speaker onboarding, registration, agenda development, and timelines. During the event, the planner manages setup, staff, vendors, program flow, and surprises. Afterward, they handle wrap-up, feedback, invoicing, and lessons for the next event.

In other words: the planner makes sure somebody is thinking about the whole event while everyone else focuses on their part.

Event planner vs. coordinator vs. day-of manager

These titles overlap, and different companies use them differently. The safest approach is to ignore the title and read the scope.

An event planner is usually involved early and helps shape the budget, venue, vendors, program, communications, and execution plan. A coordinator often takes an existing plan and manages details, confirmations, and logistics. A day-of manager or on-site manager leads execution at the venue.

Even “day-of” service requires preparation before event day. The manager must review contracts, learn the timeline, confirm vendors, understand the floor plan, and know who can make decisions. Nobody can responsibly walk in at sunrise with no context and run a complex event by lunch.

What an event planner does before the event

Most event-planning work happens before guests arrive.

The planner asks why the event exists, who it serves, what success looks like, and what the organization can spend. Those answers guide every later choice.

What an event planner does during the event

On-site, the planner becomes the event’s operational center.

Our first-ever Back to Cool Grown-Up Book Fair at the Tacoma Armory was nothing short of magical! This wasn’t just a book fair—it was a journey back to our Scholastic-filled childhoods, complete with all the community, excitement, and fresh bookish finds you’d hope for.

With a curated selection from local vendors like Clover Daydreams and ADHD Book Club, there were plenty of unique books, from nostalgic gems to new favorites by local authors, just waiting to be taken home.

The day was filled with enchanting moments, including a captivating Drag Queen Story Time featuring Cleo Nova and Love Spell, whose performances brought warmth, laughter, and a bit of fabulous flair.

Beyond the books, friends mingled over nostalgic snacks from Crème de la Crème Charcuterie and perfectly brewed themed coffee drinks from Luv a Latte, savoring the simple pleasure of leafing through new reads with a cup in hand. Our carefully curated Back to Cool playlist from Libro.fm set the perfect mood, transporting everyone back to those early reading days with a grown-up twist.

Another highlight was our lineup of talented local authors, who brought fresh stories and perspectives to reading enthusiasts. Kassidy Coursey shared her stories and exciting characters in a new anthology, Cozyish. Gunther Hammel captivated readers with his insightful reflections on stoicism and Julie Baldock brought handmade ceramics paired with original poetry collections.

These authors didn’t just bring their books—they brought conversations, excitement, and inspiration, making the book fair a space where stories and voices came to life.

Of course we brought more than books! In addition to our book swap, other interactive activities included a nostalgic yearbook photo booth from Dress Up Box and Body by Anam provided permanent jewelry for an elevated friendship bracelet moment.

What an incredible event we had at Sculpt Bodywork! The energy was palpable as we came together to celebrate the importance of self-care. From the moment you walked through the doors, you could feel the excitement in the air.

The highlight of the day was the $1,000 worth of self-care items and services that were given away as door prizes. The vendors were passionate and knowledgeable, sharing their expertise on everything from pain management and nutrition to hypnosis, hydrotherapy, massage, chiropractic care, and beyond.

It was truly inspiring to hear the vendors speak about the different ways we can take care of our bodies and minds. The message was clear – self-care is not a luxury, but a necessity for our overall well-being.
